Role Overview: We’re looking for a Department Operational Coordinator to join our team. This role will include but is not limited to, coordinating and managing executive scheduling, support board meetings, the preparation of board packs as well as effective minute taking. 

 

The dynamic nature of this role requires that the ideal candidate have exemplary time management skills and the ability to identify and anticipate the Executive’s needs. Successful candidates will need to build effective relationships across a broad set of internal and external stakeholders and be an ambassador for the culture and values of the organisation. 

 

Professionalism and integrity are critical as this role is exposed to sensitive information. 

 

Job Description

 

Key Responsibilities: 

  • Diary Management - Arrange, schedule, and coordinate meetings and align diaries.
  • Detailed minute taking & task tracking.
  • Meeting agenda preparation.
  • Consolidated Management Reports.
  • Events - Workshops, Business Unit events and conferences, both on-site and offsite.
  • Budgets and expense tracking
  • Management and reporting
  • Stakeholder communication
  • General co-ordination & administration

 

Skills and Qualifications 

  • 5+ years experience in similar role, preferably in a technology company 
  • Excellent written and verbal communication skills 
  • Effective Minute Taking experience at Board Level 
  • Time-Management skills 
  • Attention to detail & organization skills 
  • Excellent proficiency of frequently used computer software such as Microsoft Excel, Word, Teams & PowerPoint.   
  • Proven interpersonal skills
